INSURANCE TIPS

FLEET SAFETY POLICY, PART 2

Your drivers play a major role in your company’s commitment to safety, which is why screening before hiring is essential. As part of your fleet safety policy, maintain the following driver qualification documents on file for each driver:

  • Completed application form or resume, detailing experience and suitability for the position
  • Copy of a valid driver’s license
  • Current CVOR or Driver abstract (updated annually) verified at the time of hire to ensure both the status and class of license is suitable for the vehicle to be operated
  • Documentation of the driver’s road test

A valid medical examination is required every 1, 3 or 5 years (depending on age) for the holder of a Class A license designation. The Ministry of Transportation will automatically send medical forms 90 days before the date that the medical report is due. Failing this, the license classification will be automatically downgraded by the Ministry of Transportation. (i.e., a Class A license classification would be downgraded to a Class D thus making the driver ineligible to operate certain vehicles).

Your fleet safety policy should state a driver is responsible for ensuring their medical is completed in advance of the expiry date. The driver must take into consideration the normal expected delays associated with arranging an appointment with your medical practitioner and forwarding of information to the Ministry of Transportation. Lastly, a driver will inform the company immediately of any suspensions, cancellation, prohibition, or change in classification of their license.

A driver’s responsibilities extend beyond the safe and efficient operation of a vehicle. Ensure your drivers’ additional responsibilities are clearly outlined in your fleet safety policy.
